Using the Calendar

The CllrWay calendar keeps track of council meetings, committee dates, ward surgeries, resident appointments, and critical casework deadlines. It also automatically highlights when case chasers are due.

Adding and editing events

You can add an event by clicking the Add date button at the top of the calendar, or by clicking directly on any date cell.

  1. Enter a Title.
  2. Select an Event type (e.g. Council meeting, Ward surgery).
  3. Choose the start date and time. Check All day if no specific time applies.
  4. Optionally provide a location or add extra notes.
  5. Click Save.

To edit an event, click on it in the calendar view and make your changes. If the event is linked to a resident chaser, clicking it will take you directly to the resident's profile instead.

Filtering events

Use the Filter dropdown above the calendar to show only a specific type of event. The available types are:

Clear the filter to return to viewing all event types at once.

Exporting an event

You can download an individual event to add it manually to your personal calendar (such as Outlook, Apple Calendar, or Google Calendar).

  1. Click on the event in the calendar to open its details.
  2. Click the Export button at the bottom of the dialog.
  3. An .ics file will download to your computer, which you can open in your preferred calendar application.

Subscribing to your calendar

You can subscribe to a live calendar feed so that all your upcoming CllrWay events automatically appear and stay up to date inside Outlook, Apple Calendar, Google Calendar, or any other application that supports iCal.

  1. At the top of the Calendar page, click the Subscribe or Download ICS button (calendar tick icon).
  2. A dialog will open showing your personal feed URL.
  3. Either:
    • Click Subscribe in Calendar App to open the feed directly in your system calendar, or
    • Click the copy icon next to the URL and paste it into your calendar application manually as a new internet calendar / subscription.
Tip: Unlike a one-off export, the live feed stays in sync — your calendar application will periodically check for new or changed events automatically.

Adding an external calendar

You can bring your personal or work calendar (Outlook, Google Calendar, Apple Calendar) directly into CllrWay so you can see all your commitments in one place and avoid double-booking.

  1. In your external calendar application, find the option to Publish Calendar or generate a Secret iCal / .ics link.
  2. Copy the published web address (it will end in .ics).
  3. Inside CllrWay, open your Profile.
  4. Paste the link into the External Calendar URL field in the Personal Details section and click Save Details.

Once saved, external events will appear on the calendar automatically. Your local CllrWay events load first so the calendar is usable straight away, then a brief indicator (e.g. "Loading Google Calendar…") shows while the external feed is fetched in the background.

Note: External events are shown as private — their details are visible only to you. You can use the Filter dropdown and select External to view them on their own.

Automated email digest

You can receive a regular email summarizing your upcoming calendar events.

  1. At the top of the Calendar page, click the Notifications (Bell Icon) button.
  2. Toggle Enable Calendar Digest Emails to ON.
  3. Select the Day of the week and the Time you wish the email to be sent.
  4. Click Save.
Tip: We recommend scheduling your digest for Monday mornings to give you a clear overview of the week ahead.
