Canvassing & Delivery
The CllrWay Canvassing module helps you plan, manage, and record every aspect of your ground campaign — from building door-knock and leaflet-drop routes to tracking visit outcomes, visualising pledge support on a live map, and sharing resident surveys via QR code.
All canvassing data is tied to your current dataset (the electoral register you have loaded), so address counts, resident numbers, and postal-voter flags are always kept in sync with your register.
Processing address data
Before you can build any routes, CllrWay needs to parse and normalise the addresses in your dataset — extracting house numbers, street names, and postcode information from the raw register data.
- Navigate to Canvassing & Delivery in the main menu.
- If addresses have not been processed yet, you will see a Process Address Data screen. Click Process Addresses.
- Processing runs in the background. Once complete, a summary will show the total number of addresses processed and any exceptions requiring attention.
Creating a route
CllrWay supports two types of route:
- Door Knock — for canvassing, recording voting intentions, and gathering feedback house by house.
- Leaflet Drop — for planning and tracking the delivery of leaflets or letters to every address on a road.
To create a new route:
- From the Canvassing home page, click New Canvassing Route (for a door knock) or New Leaflet Drop.
- Enter a name for the route and click Create.
- The Route Editor will open, ready for you to add roads.
All routes appear as cards on the Canvassing home page, showing the route type, difficulty, number of road segments, total house count, and batch count.
Building your route
Inside the Route Editor you add individual road segments to build up a complete route.
Adding roads — Leaflet Drop
- Click Add Roads.
- Search for and select the roads you want to include.
- Choose whether to include the whole road or specific buildings only.
- Click Add to add them to your route.
Adding road segments — Door Knock
- Click Add Road Segment.
- Select the road and optionally restrict to a range of house numbers (e.g. odds only, evens only, or a specific start–end range).
- Set the direction (e.g. ascending or descending house number) to control the walking order.
- Optionally exclude apartment buildings and include only regular houses, or target a specific named building.
- Click Add.
Reordering and removing segments
Use the up and down arrow buttons on each row to change the order segments are walked. Click the delete (bin) icon to remove a segment.
Segment difficulty
Each segment can have a difficulty flag to help with batch planning and to warn canvassers. The available options are:
- None — flat and straightforward.
- Hilly — a noticeable incline.
- Steep — a significant hill.
- Stairs — involves steps or staircases.
- Long Walk — long distances between doors.
The overall route difficulty shown on the route card is automatically calculated from its segments.
Targeting specific households — Door Knock
For door-knock routes you can filter which households are included in the batch calculations using the toggle bar in the Route Editor:
- Other Houses — all addresses not covered by the other filters.
- Postal Voters — addresses with registered postal voters.
- Members — addresses with registered party members.
- Pledge: Yes / Maybe / No — addresses where the resident's voting intention has previously been recorded.
Select any combination of these filters before clicking Calculate Batches.
Calculating batches
Batches divide your route into manageable groups of houses, each sized for a single canvassing session.
- Set the Batch size (houses) field to the number of houses you want each canvasser to cover in one session (default: 100).
- For door-knock routes, select the household targets you want to include.
- Click Calculate Batches.
CllrWay will assign each segment a colour-coded batch number. The batch colours are shown both in the segment list and on the route map. The summary bar at the bottom of the segment list shows the total number of roads, houses, and batches.
Printing batch PDFs
Once batches have been calculated, a Print Batches section appears at the bottom of the Route Editor.
- Click Batch 1, Batch 2, etc. to download a print-ready PDF for each batch.
- Each button shows the number of houses in that batch and a difficulty badge if applicable.
- The PDF lists every address in the batch in walking order, with columns you can customise (see PDF layout settings).
When recording results for a pass that is still in progress, you can also print a list of unvisited houses only — useful for a follow-up canvassing session (see Passes & results).
PDF layout settings
You can customise the layout and columns of all canvassing PDFs generated for your dataset. To access settings, click Settings at the top of the Canvassing page.

Layout mode
- Per address — one row per front door (the default).
- Per person — the address appears as a group header with one row per registered resident beneath it.
- Report title — an optional subtitle printed below the route name on every PDF page.
- Columns — choose which data columns appear in the PDF and drag them into your preferred order. Use Reset to defaults to restore the original column set.
- Footer text — optional text printed at the bottom of every page (e.g. a party name or contact number).
Locking routes
Route creators can lock a route to prevent other team members from making changes while a canvassing session is under way.
- Click the lock icon in the Route Editor header to toggle the lock on or off.
- When a route is locked by its creator, other users can view the route but cannot edit, add, or remove segments.
- A locked route is indicated by a filled lock icon on the route card and in the Route Editor.
Passes & results
A pass represents a single canvassing session for a route or batch — tracking who did it, when, and how many houses were visited.
To manage passes for a route, click Passes & Results in the Route Editor header.
Creating a pass
- Expand the Create New Pass panel.
- If the route has multiple batches, select the batch this pass covers (or leave as All batches).
- Optionally enter the name of the person assigned to this pass.
- Click Create Pass. The Pass Entry screen will open immediately so you can start recording results.
Pass list
The passes table shows:
- Batch — which batch the pass covers.
- Pass — the pass number (increments automatically).
- Assigned To — the name entered at creation (optional).
- Status — In Progress or Completed.
- Houses / Voters — total addresses and registered voters in scope.
- Progress — a visual progress bar and percentage of houses visited.
- Answered — the count of doors where someone answered.
Use the batch filter tabs at the top to view passes for a specific batch only.
Pass actions
- Edit (pencil icon) — open the Pass Entry screen to record or update visit results.
- Mark complete (tick icon) — mark a pass as Completed once all visits have been recorded. Completed passes become read-only.
- Print unvisited (printer icon) — download a PDF listing only the houses not yet visited in this batch, ready for a follow-up pass.
- Delete (bin icon) — permanently remove the pass and all its recorded results.
Entering pass results
The Pass Entry screen shows every address in the pass as a scrollable table. A summary bar at the top tracks your running totals.
For each address, you can record:

Outcome
- Not Visited — not yet called on.
- Answered — someone came to the door.
- Not In — knocked but no answer.
- Refused — declined to engage.
- Voting Intention — the resident's stated voting intention (e.g. Yes, Maybe, No, Undecided).
- Notes — any free-text note about the visit.
Each row also shows whether the address has a postal voter (PV) badge or a previously recorded pledge status.
- Update outcomes and intentions as you work through the list.
- Use the Unvisited Only toggle to hide already-visited addresses and focus on remaining calls.
- Click Save to record all changes. An amber warning will appear if you have unsaved changes.
Pledge support map
The Pledge Support Map gives you a geographic view of voting intentions recorded across all your canvassing passes.
To open the map, click Pledge Map from the Canvassing home page.
- Addresses are shown as colour-coded dots: green for Yes, orange for Maybe, red for No.
- Use the filter chips (Yes, Maybe, No) to show or hide each intention group.
- The header shows the total number of voters visible, total responses, and how many addresses have been geocoded.
Geocoding addresses
To appear on the map, addresses need geographic coordinates (latitude and longitude). If the banner shows "Geocode X missing", click it to run geocoding now. This looks up coordinates for all ungeocoded addresses and may take a few minutes depending on how many are outstanding.
Use Refresh to reload the map with the latest canvassing data.
Route coverage map
The Coverage Map shows which streets in your dataset are covered by your canvassing routes — helping you identify gaps before a campaign begins.
To open the map, click Coverage Map from the Canvassing home page.
Streets are colour coded:
- Red — uncovered: not included in any route.
- Amber — partially covered: some but not all houses on the street are in a route.
- Green — fully covered: all houses on the street are included in at least one route.
- Grey — ignored: deliberately excluded from coverage tracking.
A coverage bar in the header shows the overall percentage of houses currently in routes.
Fixing coverage gaps
If there are uncovered or partially covered streets, click Fix Gaps to open the Coverage Wizard. The wizard steps you through the uncovered streets and lets you quickly add them to an existing route or create a new one.
Use Refresh to reload coverage data after making changes to your routes.
Address exceptions
When CllrWay processes your address data, a small number of addresses may not parse correctly — for example, unusual formats without a clear house number or street name. These are listed as exceptions.
If any exceptions exist, an amber Exceptions button will appear at the top of the Canvassing page showing the count. Click it to open the Exceptions page.
For each exception, you can:
- Review the original address data from the register.
- Type in the correct Street Name.
- Optionally enter a House Number.
- Click Save to resolve the exception and make the address available for routes.
Surveys
Surveys let you collect structured feedback from residents via a public web page — no login required. You can share a survey by printing its QR code on leaflets, letters, or posters.
To manage surveys, click Surveys from the Canvassing home page, or use the Surveys strip at the bottom of the page.
Creating a survey
- Click New Survey.
- Enter a Survey Title and an optional description.
- Set the Status:
- Draft — not yet visible to the public.
- Active — open and accepting responses.
- Closed — no longer accepting responses.
- Optionally set an Expiry Date and a Max Responses cap to automatically close the survey.
- Add a Thank-you message shown to respondents after they submit, and an optional Redirect URL to send them to a web page.
- Customise the public page appearance with a Header Image URL, Footer Image URL, and a Privacy / GDPR notice.
- Click Save.
Adding questions
- In the Survey Builder, scroll to the Questions section and click Add Question.
- Choose a question type (e.g. free text, multiple choice, rating).
- Enter the question text and any answer options.
- Mark the question as Required if it must be answered before submission.
- Drag questions to reorder them, or use the delete icon to remove one.
- Click Preview to see how the survey looks to a respondent before publishing.
Sharing a survey via QR code
- From the Survey List, click the QR Code icon next to a survey.
- A dialog shows the public survey URL and its QR code image.
- Print or download the QR code and include it in leaflets, letters, or canvassing materials.
Viewing responses
- Once a survey has responses, click the response count link or the chart icon to open the Responses page.
- View a summary of answers for each question, along with a full list of individual submissions.
